Policies

Only Administrative Assistants and other specified employees approved to submit catering orders have the authority to submit catering orders and are responsible for ensuring that all guidelines outlined in this policy are followed. An order placed by any other employee will be cancelled.

All catering orders must be submitted at least 24 hours prior to the meeting or event. Any catering needs that fall within 24 hours of the meeting or event will need to be coordinated directly with the Catering Manager.

Any deviation from the approved guidelines below requires written approval from the Program Business Manager/Director or Vice President.

An all-day meeting is considered any meeting lasting over 6 hours.

  1. Lunch may be provided for an all-day meeting. 
  2. Water may be provided for the duration of an all-day meeting.

*If we are hosting a sponsored business meal attended by federal executive agency personnel (i.e., Government, Air Force), a “Straight Arrow” collection is required.  The host should announce the straight arrow cup is available and a suggested cost of the meal.

Note:  All business meals must be in compliance with CTM F800 to be reimbursed.

A working lunch is defined as a business-related meeting held between the hours of 1100-1300 and otherwise is not able to be scheduled outside of this timeframe.

  1. Lunch may be provided for a defined working lunch.
  2. Beverages may be provided in conjunction with the company sponsored meal.

Note: All working meals must be in compliance with CTM F800 to be reimbursed.

  1. Breakfast
  2. Snack items
  3. All day beverage service other than water

Special approval required to order these items must be provided in writing by the Program Business Manager/Director or delegate.
